Terms of Service

These terms govern your use of Doctor Notes. By creating an account or using the service, you agree to them. If you're agreeing on behalf of a practice, you confirm you're authorized to do so.
1. Who can use Doctor Notes
The service is intended for licensed physicians and the clinical staff they authorize. You must be legally permitted to document patient encounters in your jurisdiction. You're responsible for keeping your credentials secure and for activity under your account.
2. Not a medical device; clinician responsibility
Doctor Notes generates draft documentation and surfaces items for your review. It does not diagnose, treat, or recommend treatment, and its "Clinical Review" prompts are for clinician consideration only — not medical advice. You must review and verify every note before it enters the medical record. You remain solely responsible for the accuracy of the chart and for all care decisions.
3. PHI and the BAA
If you use Doctor Notes to document real patients, our Privacy Policy and a Business Associate Agreement (BAA) apply. Real-patient recording is gated until a BAA is signed. Where the BAA conflicts with these terms regarding PHI, the BAA controls.
4. Acceptable use
- Don't record anyone without the consent required by your jurisdiction and your practice's policies.
- Don't use the service for any unlawful purpose or to document care you aren't authorized to provide.
- Don't attempt to reverse engineer, overload, or interfere with the service.
- Don't share your account or attempt to access another user's data.
5. Free notes and billing
A valid payment card is required to start. Your first 3 notes are free and your card is not charged for them. When you generate your 4th note, your subscription begins automatically at $99/month for a single clinician, billed to your card and recurring monthly until you cancel. By adding your card you authorize this charge. Fees are non-refundable except where required by law, and we'll give reasonable notice of any price change.
6. Cancellation
You can cancel anytime from your account. Your access continues through the end of the current billing period; you won't be charged again after that. You can export or delete your notes before closing your account.
7. Your content
You own your notes and the underlying patient information. You grant us the limited rights needed to process recordings, generate and store your notes, and operate the service for you. We don't use your content to train AI models, as described in the Privacy Policy.
8. Availability
We work to keep the service reliable but don't guarantee uninterrupted access. We may perform maintenance, update features, or modify the service. Recordings made offline upload when your connection returns.
9. Disclaimers
The service is provided "as is" and "as available," without warranties of any kind to the extent permitted by law. We don't warrant that generated notes are complete or error-free — that's why clinician review is required.
10. Limitation of liability
To the maximum extent permitted by law, Doctor Notes is not liable for indirect, incidental, or consequential damages, or for clinical decisions made using the service. Our total liability for any claim is limited to the fees you paid us in the twelve months before the claim.
11. Termination
We may suspend or terminate accounts that violate these terms or that create legal or security risk. You may stop using the service at any time.
12. Changes to these terms
We may update these terms; we'll change the date above and notify you of material changes. Continued use after a change means you accept the updated terms.
